Notes of the first meeting (2nd February 2011) of the KCAA Working
Group looking at
“Improving & Sustaining the Rewards & Encouragement Experience offered to
Athletes in Kent”
In Attendance: Claire Capon, Gill Freeman, David Ralph & Louise Watson
General discussion, both at the meeting & previously with some members of
Council who had indicated a willingness to do away with trophies, brought focus
to the fact that the “Trophy” was not the key issue but the amount of meeting
time & work of the Trophies Secretary (without any success at finding a
successor) as well as the athletes experience that was really the issue.
The meeting therefore initially concentrated it’s thoughts on these issues;
1.
The
presentation of Trophies
1.1.
Trophies
are sometimes returned un-engraved, damaged and more often un-cleaned and action
has to be taken on the day to sort out before being presented. They are often
late or not returned when people change championship age groups or cease
competing & need to be chased up. It has been expected that Athletes know what
to do when they receive a trophy but as no current guidance is published in the
programme or on the KCAA web site about such matters as care, engraving,
cleaning & return.
1.2.
We
therefore recommend that both in the meeting programme & on the KCAA website
information is given on “So you have won a trophy” with this information.
1.3.
We
therefore recommend that all trophies are listed on the KCAA web site; with
current holder, holders club and date of return.
1.4.
We
therefore recommend that the key piece of “holder” information should be their
email address; so it can be used to send a reminder of the need for the trophy
to be returned, this email would be copies to the Club Secretary, with whom the
ultimate responsibility for getting the trophy returned would rest.
1.5.
We
therefore recommend that we explain that if Clubs wish trophies to continue they
must take responsibility is chasing returns and where necessary be prepared to
pay the cost of engraving and/or repair.
1.6.
To
enable 1.4 to work effectively meeting organisers would need to provide; winners
name, email address & club, from the database to the Trophies Secretary within a
week of the meeting taking place. If this was seen to work we would look to
reduce the amount of information taken at the time of presentation.
1.7.
We
therefore recommend that Meeting Organisers are responsible providing an
“Assistant Trophies Secretary” at each of their meetings as a way of sharing
knowledge and improving the presentation experience.
2.
The
Presentation of Medals
2.1.
Although
much mention has been made of Trophies the larger part of the job is to do with
medals which are engraved with; sex, age group & event which means that there
are hundreds of different medals to manage at each meeting.
2.2.
We
therefore recommend that we reduce what is engraved on a medal to just the age
group. This would reduce engraving costs by a third and more than halve the work
of the Trophies Secretary as well as making presentations on the day easier.
2.3.
We
therefore recommend that in the programme there are clear instructions about
presentations, possible wording as follows: “If you come in the first 3 of an
event, please wait 30 minutes before going to the presentation area to receive
your medal. Medals not collected by the end of the meeting (i.e. which may be
day 2 of a two day event) will not be awarded but you may collect from the
Trophies Secretary by prior arrangement”.
2.4.
We
therefore recommend that where there are less than 3 competitors in an event,
only a Gold medal is awarded and that being dependent on the entry standard
being met.
2.5.
We
therefore recommend that an athlete taking part in an event should only receive
1 medal for that event & not more by entering more than 1 age group.
2.6.
We do
not support the idea of providing a winners “plaque” because it would involve
more work & considerably increase our costs at a time when KCAA is trying to
balance its books.
2.7.
We
therefore recommend that the KYAL does not present individual medals (the
leagues charges do not cover costs) but that the current, un presented, KYAL
trophies, which are in very good condition, are re-designated as “Athlete of the
Year” for both sexes in each age group. We would need to accept a one off
transition cost of providing new plaques & engraving but save considerably on
medals.
3.
Trophies
3.1.
We have
almost 200 Trophies to dispose of if we cease presenting them & no space to
store them. There has been minor interest from Museums but they are unlikely to
want to take all but the best. Being “stored” in an athletes house is an easy
solution but receiving a trophy which is in poor condition is not an
encouragement; similarly sometimes one for a historic event being reused which
appears irrelevant to the event won.
3.2.
We
therefore recommend that we do continue to award trophies as the easiest way of
dealing with the storage or disposal issue.
3.3.
We
therefore recommend that we buy no new trophies; although being willing to
accept any that a benefactor may wish to put up for an event.
3.4.
We
therefore recommend that we do a critical review of all existing trophies and
dispose of any which are “poor” or “irrelevant” but then look to check the
balance between ages & sex and if necessary reallocate some accepting a
transition cost of providing new plaques & engraving if necessary.
3.5.
We
therefore recommend that we no longer award “Team” trophies (mainly relays) as
these rarely get passed round between the team & are easily lost.
3.6.
If
3.5.is accepted we therefore recommend that the 2011/12 winning clubs be allowed
to retain of “loan” from KCAA for local display if they wish.
3.7.
We have
a “Jim Hennessy - Official of the Year” and “Arthur Nye - Coach of the Year”
trophies which would continue under the management of the appropriate sub
committees.
4.
Consultation
4.1.
As
Sportshall currently have their own arrangements we do not see any need for them
to change.
4.2.
This
paper was presented to the Executive committee at its February meeting & agreed
for consultation with clubs, before being put to Council at its March 2011
meeting.
4.3.
As part
of the consultation in 4.2. it will be explained that this is to make the task
more manageable but its continuation is dependent on finding a volunteer to work
with & ultimately take over from Marjorie as Trophies Secretary.
4.4.
If
agreed we would work towards all of the changes being in place from the KCAA AGM
in November 2011.
